This policy describes how we handle personal information and workspace data when you use the Agency Operations Platform (“AgencyOps,” the “Service”).

Who we are
AgencyOps provides a multi-tenant software-as-a-service product for digital agencies, consultancies, and professional services teams. The Service helps organizations run pipeline and client work, project delivery, invoicing and expenses, finance visibility, team capacity and leave, real-time collaboration tied to projects, and related workflows in a single workspace.
Scope
This policy applies to information processed through our websites, the hosted Service, and related communications (for example onboarding, support, and service notifications). It does not govern third-party sites or services you link to from the Service; those providers have their own policies.
Information we collect
Depending on how you use the Service, we may process categories such as:
- Account and profile data: name, email address, organization or workspace name, role, authentication identifiers, preferences, and billing relationship details for administrators.
- Workspace and product content: information your organization enters or generates in the Service, including clients and deals, projects and tasks, files, messages in workspace or project channels, invoices and expenses, leave and availability records, portal activity where applicable, and similar operational records. This content is generally controlled by your workspace administrator(s).
- Usage and device data: log and diagnostic information, approximate location derived from IP address, browser or app version, timestamps, and security signals that help us operate and protect the Service.
- Support and communications: messages you send us, feedback, and metadata needed to respond.
- Integration-related data: if you connect optional integrations (for example email or calendar), we process the data required to provide those features according to your configuration and permissions.
How we use information
We use information to:
- Provide, maintain, and improve the Service, including multi-tenant isolation and access controls.
- Authenticate users, enforce permissions, and prevent fraud or abuse.
- Communicate about the Service, security, and policy updates.
- Analyze reliability and performance in aggregate or de-identified form where appropriate.
- Comply with law, respond to lawful requests, and protect our rights and users.
Legal bases (where applicable)
If data protection laws such as the GDPR apply, we rely on appropriate bases including contract (providing the Service you requested), legitimate interests (security, product improvement, and internal operations, balanced against your rights), and legal obligation where required. Where we ask for consent (for example certain cookies or marketing), you may withdraw it as described when we collect it.
How we share information
We do not sell your personal information. We may share information:
- With service providers who assist us (for example hosting, infrastructure, email delivery, analytics, payment processing, or security) under contracts that require appropriate protection and limited use.
- Within your workspace according to roles and settings your administrators configure.
- For legal reasons if we believe disclosure is required by law, regulation, legal process, or to protect the safety, rights, or property of users, AgencyOps, or others.
- In connection with a business transaction such as a merger or acquisition, subject to standard confidentiality and continuity commitments.
Retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention of workspace content may also be governed by your organization’s policies and administrator actions (for example export or deletion requests).
Security
We implement technical and organizational measures designed to protect the Service, including tenant-scoped access and monitoring appropriate to a cloud SaaS product. No method of transmission or storage is completely secure; we encourage customers to use strong credentials, least-privilege roles, and approved integrations.
International transfers
We may process and store information in the United States and other countries where we or our providers operate. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict certain personal information, or to object to or port data. Many requests for workspace content are handled by your organization’s administrators because they control the account. You may also contact us as described below. You can lodge a complaint with a supervisory authority where applicable.
Children
The Service is intended for businesses and professionals. It is not directed at children, and we do not knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Where changes are material, we will provide additional notice as appropriate (for example via the Service or email).
